Executive Assistant to BYU Broadcasting Directors

Job Summary

This position provides continuity and executive administrative assistance for BYU Broadcasting under the direction both the Director of Content and the Director of Operations/Strategy.

Essential Functions

  1. Provides administrative support for Directors of  Content and Operations/Strategy 
  • Manages the Offices of the Director of Content and the Director of Operations and Strategy,  including the supervision of 2 student employees.
  • Participates in problem solving, decision-making and strategic planning relative to the BYUB Executive Council
  • Responds to questions about BYUB-specific and University policies and procedures
  • Composes responses for the signatures of the Director of Operations and Director of Content
  • Maintains the calendars for the Director of Operations and Director of Content
  • Responsible for the university records retention information for the Director of Operations and Director of Content
  • Reconciles transactions for all Director of Operations and Director of Content budgetary expenses
  • Coordinates travel logistics for Executive Council members including conference registrations, travel reservations and post-travel expense reports
  • Provides administrative support to other members of the Executive Council, as needed.
  1. Serves as BYUB Liaison for Professional Outreach Program
  • Solicit opportunities for film/television/broadcast professional outreach program
  • Manages budget for Professional Outreach Program
  • Coordinate all travel and hosting arrangements for film/television/broadcast professional to visit BYUB
  • Schedule, advertise and manage events (for BYUB staff and possibly greater university community)
  • Schedule, advertise and manage BYUB exclusive training events for select BYUB employees
  1.  Tracks BYUtv projects
  • Create and oversee system to track BYUtv projects from development, through production and post production.
  • Coordinates high-level project management for BYUtv productions (content creation, production, post production).
  • Film/TV research as needed
  1. Serves as Liaison for Cable/Satellite Partners
  • Create and manage distribution database of cable & satellite partners
  • Manage calendar of renewal dates for cable & satellite partners
  • Prepare renewal paperwork for cable and satellite partners
  1. Serves as BYUB Liaison for Awards
  • Maintain calendar of major awards consideration deadlines
  • Oversee preparation of submission paperwork for awards consideration qualification
  • Arrange for appropriate BYUB personnel to attend award ceremonies
  • Coordinate all travel for those in attendance
  1. Special assignments from the Director of Content and Director of Operations/Strategy
  • Tracks through completion of assignments received from the Director of Content and Director of Operations/Strategy of BYUB
  • Maintains history of the meetings of the Producers Group and other meetings involving and/or chaired by either the Director of Content and/or the Director of Operations/Strategy
  • Provides resources and/or research as necessary for special assignments
  • Develops preliminary proposals
  • Provides input and feedback

Education/Experience

Minimum education/experience required:

Bachelor’s Degree and 1 year of relevant experience OR equivalent combination of education/experience

Preferred: Bachelor’s Degree AND 5 years of relevant experience

Skills, abilities, knowledge, licenses, certifications

Required

  • Knowledge of office procedures
  • Excellent MS Word, Excel, PowerPoint and/or Keynote presentation building skills
  • Excellent English, verbal, writing, grammar, proofreading/editing skills
  • Ability to plan and coordinate all aspects of travel
  • Excellent organizational and budgeting skills
  • Excellent interpersonal and communication skills, with the ability to interact appropriately with all levels of administration, donors, other executives, etc.
  • Excellent people management skills
  • Proven track record of operating with the highest level of integrity and confidentiality
  • Initiative in management of projects and assignments from inception to completion in a timely manner
  • Proven ability to work with minimal assistance and extreme thoroughness
  • Ability to research, organize, and present information for management decisions

Preferred

  • Knowledge of both BYUB and University organization, BYUB and University policies and procedures
  • Spanish, verbal, writing, grammar, proofreading/editing skills

Approximate Starting Salary: $41,600 to $54,000, depending on experience
